Position Overview:

We are looking for a meticulous and detail-oriented Payroll Data Specialist to join our team. The Payroll Data Specialist will play a vital role in ensuring the accurate processing, maintenance, and analysis of payroll data for the organization. This position is responsible for ensuring that employee compensation, deductions, and benefits are correctly processed and reported. The ideal candidate will have strong data management skills, a solid understanding of payroll practices, and the ability to handle sensitive information with confidentiality and precision.

Key Responsibilities:
  • Payroll Data Management: Ensure accurate and timely entry of payroll data, including hours worked, overtime, bonuses, deductions, and benefits, into the payroll system.

  • Payroll Processing: Assist in processing payroll for all employees in accordance with company policies and legal requirements, ensuring that employees are paid accurately and on time.

  • Deductions and Benefits Administration: Ensure proper deduction calculations for taxes, benefits, retirement contributions, and other withholdings, and ensure compliance with applicable laws and regulations.

  • Compliance and Reporting: Support payroll compliance with federal, state, and local tax laws and regulations. Prepare payroll reports and assist with tax filings and audits as required.

  • Data Accuracy and Validation: Regularly audit and verify payroll data to ensure accuracy and resolve any discrepancies related to employee records, pay rates, or benefits.

  • Employee Inquiries: Respond to employee inquiries regarding payroll matters, including paycheck discrepancies, deductions, and benefits-related questions, and provide solutions in a timely and professional manner.

  • Recordkeeping and Reporting: Maintain and update payroll records, including pay rates, leave balances, and other employee data. Prepare and distribute regular payroll reports to management.

  • System Maintenance and Improvement: Continuously improve payroll processes and assist with maintaining and optimizing payroll systems to increase efficiency and accuracy.

  • Collaboration with HR and Finance: Work closely with the Human Resources and Finance departments to ensure smooth and accurate payroll processing, especially with regard to new hires, terminations, salary adjustments, and benefit changes.

Qualifications:
  • Education: Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field. Equivalent work experience will also be considered.

  • Experience: At least 2 years of experience in payroll processing, payroll data management, or a related field. Experience with payroll software (e.g., ADP, Paychex, or similar platforms) is highly preferred.

  • Skills:

    • Strong attention to detail and accuracy in handling payroll data.

    • Proficient in payroll software, Microsoft Excel, and other related tools.

    • Knowledge of payroll laws, tax regulations, and employee benefit programs.

    • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.

    • Excellent problem-solving skills and the ability to handle sensitive information confidentially.

    • Strong communication skills, both written and verbal, with the ability to interact effectively with employees and management.
