Job Description

Vancouver Island University (VIU) is seeking a Manager, Office of the CFO and VP, Administration to play a pivotal role in ensuring the smooth operation of the Office of the Chief Financial Officer and Vice-President Administration (CFO). Reporting to the Chief Financial Officer and Vice-President Administration (CFOVPA) this is a fantastic opportunity for a highly skilled administrator to contribute to VIU’s mission while working closely with senior leadership, divisional directors, and key stakeholders across the institution.  This role requires a proactive problem solver with strong organizational and communication skills, a keen attention to detail, and the ability to manage confidential information with discretion.

Duties: 

  • Administrative support to the CFO.
  • Contribute to and coordinate the flow of information and activities within the office of the CFO. The Manager works closely with divisional Directors and provides functional and process assistance to them in alignment with CFO vision and priorities.
  • Coordination of the Chief Financial Officer and Vice-President Administration Division's reports and submissions to the Senior Management Team, Board of Governors’ Standing Committees, VIU Executive, Executive Budget Committee, and the Budget Advisory Council.
  • Generation of reports and documentation as required and requested for internal and external stakeholders.
  • Committee and Working Group administrative support as directed, for initiatives and projects sponsored by the CFO.
  • Assistance with human resources requirements within the division, such as appointments, onboarding, professional development.
  • Project Management as required.

Required Qualifications: 

An undergraduate degree from an appropriate accredited institution with a minimum of five (5) years of progressively more complex administrative experience, preferably in a post-secondary environment. An equivalent combination of education and work experience may be considered. 

  • Outstanding interpersonal, verbal, and written communication skills.
  • Excellent organizational, time-management, and administrative skills.
  • Strong problem-solving, critical thinking, and decision-making abilities.
  • Ability to work effectively and efficiently under pressure, manage tight deadlines, and adapt to changing priorities.
  • Capacity to set priorities, delegate tasks as needed and maintain flexibility in a dynamic environment.
  • Analytical and detail-oriented approach to identifying and resolving issues in a timely manner.
  • Ability to work both independently and collaboratively while keeping relevant stakeholders informed.
  • High degree of professionalism, discretion, and the ability to handle confidential and sensitive information appropriately.
  • Proficiency in Microsoft Office, Adobe, and SharePoint, with a willingness to learn additional software as needed.

Preferred Qualifications:

  • Post-secondary experience and/or experience in a unionized environment.
  • Supervisory experience.
  • Extensive knowledge of relevant VIU administrative policies and procedures.
