Research Finance Coordinator

Children's & Women's Health Center

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. Responsible for the accurate and timely processing of all Accounts Receivable and Payable, along with providing secretarial and administrative support to the Finance Managers. Informs investigators, vendors, and research personnel on the interpretation and application of policies and procedures, exchanges information, assists with the researching, gathering and preparation of internal or external statistical or financial reports. Provides work direction to work-learn students.

What you'll do
  • Oversees the day-to-day activities of BCCHRI's Accounts Receivable and Payable process for PHSA and UBC transactions.
  • Identifies problems or discrepancies by reviewing invoices, payment requisitions and corporate card statements; performs account analysis by reviewing, extracting and interpreting information to determine reason for problem or discrepancy; takes corrective action.
  • Identifies gaps in processing regular Accounts Receivable and Payable procedures for all BCCHR staff and researchers. Recommends streamlining of procedures and ensures compliance with PHSA and UBC accounting policies, procedures and timelines. Communicates new policies and procedures to internal and external clients.
  • Reviews purchase orders with investigators and research personnel; coordinates with vendors and HSSBC or UBC Purchasing; assists with preparing or prepares purchase requisitions for submission and follow-up.
  • Prepares and reviews journal vouchers as required such as those involving employee expense claims and corporate card statements.
  • Provides work direction, guidance and training to work-learn students. Performs duties such as scheduling and coordinating work assignments, evaluating performance and determining related training and orientation requirements.
  • Assists with the annual budgeting process by providing information such as labour and supply costs; monitors budget by comparing actual expenditures to budget amounts and identifying, investigating and reporting on discrepancies.
  • Assists with the BCCHRI Investigator Grant Award process; records and maintains award payment information in the database, determines the award payment schedule, reconciles the payments per fiscal year, and reconciles the quarterly award payment details.
  • Performs administrative tasks including arranging meetings and booking rooms; preparing correspondence and minutes; maintaining electronic file storage system for the Finance Department.
  • Prepares and submits employee time records to UBC Payroll; responds to and identifies, investigates, and corrects timekeeping discrepancies; manages the onboarding process for Research Finance employees.
  • Performs other related duties as assigned.

What you bring

Qualifications
  • Grade 12, successful completion of a recognized accounting course and three years' recent related experience or an equivalent combination or education, training and experience.
  • Ability to keyboard 45 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to supervise.
  • Ability to organize work.
  • Ability to operate related equipment.
