Grade 7 ($37.90 to $50.54 per hour)

 

Emily Carr University of Art + Design is a school of students, faculty, thinkers and makers unlike any other. The HR Coordinator, Programs, Policy + Records supports the HR Manager, Leadership + Organizational Development in the development, promotion, delivery, and assessment of HR programs and projects related to such things as organizational development, change management, employee engagement, leadership development, and team effectiveness. Through a lens of justice, equity, diversity, inclusion, and Reconciliation, and under the direction of the HR Manager, the Coordinator, contributes to a model of continual improvement of programming and impact, through research, consultations, and evaluation of needs and programming.

 

The Coordinator establishes, supports, and maintains a system for the development, revision and cyclical review and tracking of HR policies and procedures. The Coordinator supports the policy oversight work of the HR Manager through such tasks as drafting, research, facilitating consultations and updating web-content.

 

Working closely with HR Advisors, as assigned, the Coordinator maintains records management systems for HR records in the area of assignment, utilizing best practises in records management and in compliance with privacy and access legislation.

 

As the successful applicant, you should possess:

  • Bachelor’s Degree in a related field.
  • Minimum three years’ experience in Human Resources and/or Organizational Development.
  • An equivalent combination of education and experience may be considered.
  • Experience in a post-secondary or other public sector or public service environment is an asset.
  • Understanding of organizational and governance structures and practices in a public post-secondary institution.
  • Understanding of University administration, processes, and policies.
  • Knowledge of basic research techniques.
  • Knowledge of basic project management processes and best practices.
  • Knowledge of leading practices in justice, equity, diversity, and inclusion (JEDI), and Reconciliation.
  • Strong interpersonal skills and cross-cultural sensitivity.
  • Excellent written communication and public speaking skills.
  • Ability to research, analyse, and synthesize information to solve problems, support the development and implementation of projects, and support process and efficiency improvement.
  • Proven organizational and event planning abilities.
  • Strong understanding of practises in records management, archives, and information management.
  • Demonstrated attention to detail.
  • Ability to work independently and as part of a team.
  • Strong work ethic and an ability to set priorities and mange time effectively.
  • Demonstrated integrity and confidentiality.
  • Computer literacy, including word processing, spreadsheets, email, and team collaboration tools.

 

Some Typical Duties include:
Programs + Project Support
  • At the direction of the HR Manager, support the development and delivery of HR organizational development programs including training and employee engagement initiatives, through research, preparation of materials, program planning, delivery, and evaluation.
  • In consultation with Communications, develop promotional material and web and ECU e-bulletin content to promote HR programs.
  • Manage program registrations and complete a range of event planning tasks related to program delivery such as scheduling, booking rooms and tech or media equipment, arranging for IT support and catering if needed.
  • Coordinate existing programs for awards and recognition including Staff Excellence Awards, Emeritus program, long-service recognition.
Policy Support
  • Support HR policy oversight work through the establishment and maintenance of a system for tracking development, cyclical review, and revision of HR policies.
  • Support Policy development through research and drafting, and schedule and attend ECU community policy consultations for record keeping or facilitation.
  • Work with the Office of the University Secretariat to ensure policy development and revision occurs in accordance with any University-wide schedules or protocols on policy development, and to ensure policies are reviewed and approved by the appropriate University governing body and that new or revised HR policies are updated on the University policy website.
Records Management
  • In collaboration with HR Advisors maintains records management systems and supports best practices in record keeping of assigned area of HR records.
  • Maintain confidential employee data and files for faculty in the HR Information System, and as required, in confidential hard copy personnel files in accordance with established policies and FOIPPA requirements.
  • Assist in tracking sabbatical eligibility and tenure and promotion timelines for tenure-track faculty.
Other Duties
  • Conduct research on special topics as requested by the HR Manager.
  • Participate in cross-training and may provide back-up for other positions in Human Resources as needed.
  • Other related duties as assigned.
